We are seeking for the headquarter in Heidelberg in full time a highly motivated

Management Assistant Pharma (m/f)

to aid us in the further development of our Pharma business development, go-to-market and growth operations. The Management Assistant is a business support role, providing support to the Pharma MH team consisting of five colleagues and potentially growing within the next 12 months.

Your responsibilities

  • Effectively provide professional administration support to the Leader and Department as necessary and proactively identify where additional support can be given
  • Establish, maintain and develop as appropriate efficient office and administration systems and processes, to ensure the smooth and effective running of the team office at all times
  • Responsible for managing diaries, organizing internal/external meetings, organizing events, booking travel, hotels and couriers
  • Act as the focal point for the leader in the team, judge the priorities and proactively work with the many conflicting demands of the team
  • Responsible for organizing events, e.g. our participation in congresses and other industry events as well as set up inhouse events
  • Collate and produce high standard documents for a variety of forums including team and management meetings, other meetings, reports and publications
  • Manage basic correspondence with clients, internal and external
  • Maintain budget control of operational and travel expenses of the whole unit
  • Contribute to projects and activities as appropriate for the team e.g. project co-ordination, research, presentation and communication support and day-to-day operational activities
  • Manage all stationary requirements and ensure the department is adequately catered for
  • Manage the procurement and invoicing cycle of the business unit and lead on processing of contracts in collaboration with Legal Department

Your skills and qualifications

  • Education as executive/personal assistant with at least 3 years’ experience in a similar role in a global environment
  • Experience in pharma is not mandatory but would be a plus
  • Ability to perform a full range of administrative and client support services
  • Initiative in making recommendations to improve work efficiency within unit to meet changing business needs and skills mix
  • Relevant experience of providing secretarial and administrative support to a team gained in a complex environment
  • Proven ability to work effectively in a team-oriented international environment
  • Working in a fast-paced environment with the need to work and perform with autonomy and little supervision
  • Strong interpersonal and verbal communication skills in order to deal tactfully and effectively with internal/external contacts at all levels
  • Demonstrated organizational skills and ability to prioritize and coordinate work distribution;
  • Thorough knowledge and use of all relevant computer software
  • Proficiency in both oral & written German and English
  • Dealing with confidential information in a diplomatic style
